Staff Data
Staff data is sourced from the Themis HR system. Two broad types of data extracts are used for planning and management purposes.
Higher Education Statistics Collection – DEEWR / DEST staff data
DEEWR (previously DEST) staff is extracted as at 31 March in each year for Full-Time and Fractional Full-Time staff. Casual staff FTE is calculated across a full year using a methodology specified as part of the Higher Education Statistics Collection. Casual data is usually not available until late in the following year, and the prior year figures are normally used as an estimate for planning purposes.
DEEWR staff data allows for robust trend analysis and direct comparison with other Australian institutions, as it uses standardised definitions for the data that is included in the collection.
DEEWR staff data going back several years is available in an interactive form from the Finance and Planning Groups SQL Data Cube platform. In addition this same data is also available in a stand-alone format known as offline cubes:
- Staff (Full-time/Fractional full-time [FT/FFT]) Data
- Staff (All [Including casuals - estimate only for the latest year]) Data
- For anyone not requiring the above interactivity a ready to use report is available with 2008 and 2009 data. As noted above the 2009 casual figures are preliminary.
- Staff (All) Report 2008-2009 (including cauals - actuals for 2008, preliminary for 2009)
Standard Excel tables showing three-year trend in DEEWR staff data for faculties and departments will be available soon.

Themis data
Themis HR data is ‘live’ data sourced from the University’s enterprise system. It is available as ad hoc reports throughout the year, usually as at a specified date of extract (or report request date) and is primarily used for management purposes within the current year. Themis HR data can include specific local information (such as department or organisational unit), and can provide data showing how employees are assigned within the organisation, and how that employee’s position is charged (i.e. if that position is allocated to multiple budget units, or across activity codes).
Themis HR provides a number of standard HR reports, available to staff with appropriate training and system access. They are as follows:
| Continuing and Fixed Term Staff Listing | General Faculty and Clinical Loadings Listing |
| Honorary Staff Member Listing | Increment Details Report |
| HR 113 Position Charging Report | PDF Details Report |
| Increments Overdue Report | Absences Report |
| Staff Qualifications |
Finance and Planning will develop a standard dataset for divisional business planning purposes. This data is will be available soon.

Human Resources can also provide custom reports from the Themis HR system. View the request form here. Please contact HR-Reports for further information.
